Privacy Policy

How greencode.ai handles personal data: what the website collects, why, who processes it, how long it is kept and the rights you have.

Who we are

greencode.ai is the public website of GreenCode, an ITEA 4 research project (project 23016) coordinated by Digital Tactics Ltd. Digital Tactics Ltd is the data controller for personal data collected through this website. Digital Tactics Ltd is registered in England and Wales, company number 07666910, with its registered office at Ground Floor, 19 New Road, Brighton, East Sussex, BN1 1UF, United Kingdom. You can reach us at [email protected] or by post at GreenCode, 5 Boundary Road, Hove, East Sussex, BN3 4EH, United Kingdom.

We handle personal data under the UK General Data Protection Regulation and the Data Protection Act 2018, and, for visitors in the European Union, the EU General Data Protection Regulation.

What we collect and why

When you browse the site. The website is a set of static pages. We do not ask for any personal data to read it, and nothing that identifies you is stored by us when you do. Our hosting provider, Cloudflare, processes the technical data every web request carries, such as your IP address and browser type, to deliver the pages and protect the site from attack. The lawful basis is our legitimate interest in running a secure website.

Analytics, only with your consent. If you choose "Accept all" in the cookie banner, the site loads Google Analytics to count visits and see which pages are read. We use these figures to report the reach of the project's dissemination to its funders. Until you accept, Google Analytics does not load and no analytics cookies are set. The site carries no advertising. The lawful basis is your consent, which you can withdraw at any time through the "Cookie settings" link in the footer. Our cookie policy lists the cookies it sets.

When you subscribe to the newsletter. We store your email address, the page you subscribed from, a one-way hash of your IP address and your browser type, with the times you subscribed and confirmed. We send one email asking you to confirm, and only send newsletters once you have. The lawful basis is your consent. Every newsletter carries an unsubscribe link.

When you use the contact form. We store your name, email address, subject and message, the page you sent it from and your browser type, and forward the message by email to the GreenCode team so that we can reply. The lawful basis is our legitimate interest in answering enquiries about the project, or taking steps at your request.

Protecting the forms. Both forms are checked by Cloudflare Turnstile to tell people from automated abuse. Turnstile processes signals from your browser and your IP address for that check only. The lawful basis is our legitimate interest in keeping the forms free of spam.

We do not sell personal data, and we do not use it for automated decisions that affect you.

Who processes it for us

  • Cloudflare, Inc. hosts the website, runs the form functions, stores newsletter and contact records in its database service, and provides Turnstile.
  • Resend sends the newsletter confirmation emails and forwards contact messages to the team.
  • Google LLC provides Google Analytics, and only receives data if you accept it.

Some of these providers process data outside the United Kingdom and the European Economic Area, including in the United States. Where they do, the transfer is covered by appropriate safeguards, such as the UK International Data Transfer Agreement or Addendum, the EU Standard Contractual Clauses, or the EU-US Data Privacy Framework and its UK extension.

How long we keep it

  • Newsletter: while you are subscribed. If you unsubscribe we keep your email address marked as unsubscribed, so that we never send to it again, and delete the rest.
  • Contact messages: for as long as needed to deal with your enquiry, and no longer than two years after our last exchange.
  • Analytics: under the retention period set in Google Analytics, 14 months.

Your rights

You have the right to ask for a copy of the personal data we hold about you, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable form. Where we rely on your consent you can withdraw it at any time, without affecting what happened before. To use any of these rights, email [email protected]. We will reply within one month.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk, or to the data protection authority in the EU country where you live. We would appreciate the chance to put things right first.

Children

This website is intended for professionals, researchers and students, and is not directed at children under 16.
